Setting the Stage

So you have an event coming up.  Whether it’s a press conference, luncheon, ceremony or reception chances are you’re starting with a blank stage. What can you put on it to make your event impress? Here are a few suggestions for “setting the stage” for your next event.

Do you have a screen? A screen behind your speaker or centered on stage can give you numerous ways to impress your guests. A few questions to ask yourself first:

  • What will be on the screen when guests walk in or when the speaker is giving introductions?
  • Will any of your speakers have a presentation?
  • What will be playing as guests walk out?

Also, don’t forget about sound and lighting, you want to make sure you can both see and hear the speaker clearly and that there aren’t any silent moments or that your lighting isn’t too dim.

Speaking of sound… what kind of sound device does your speaker need? Two common types of microphone are the handheld (think old school Grammy’s) and the lavalier or lapel (which is more commonly used these days and is attached to the speaker’s clothing). One may be better than the other depending on your event and the setting but ultimately be sure your speaker is comfortable with whatever one you choose.  There’s also podium microphones which can be used if you know your speaker is going to stay behind the podium.  But make sure you check the sound and your speakers know to keep the mic pointed at their mouths not their chest.

Now, the fun stuff. After you have decided on a screen, sound and light you will need to accessorize your stage. Some common types of decor include a podium (make sure you are thinking about signage, a logo on the front of your podium will look great in pictures), flags, plants, sting or standing banners, balloons and draping. If you aren’t sure what you want the look and feel of your stage to be do some googling and find a few images of stages that speak to you.

Next time you have an event, big or small, think about what you want your stage to look like and what you want the tone of the event to be. After you have set the stage for your event you can then begin scripting the event and that’s where the real fun begins!
